At Atul Holidays, we understand that travel plans can change due to personal circumstances, unexpected events or situations beyond your control. We aim to handle cancellations and refund requests fairly and transparently while considering the arrangements already made for your trip.
Please read this policy carefully before confirming your booking. By booking a tour or travel service with us, you acknowledge the cancellation and refund terms outlined below.
If you need to cancel a confirmed booking, please inform Atul Holidays in writing by email. Your cancellation will be considered effective from the date we receive your written request.
Please include your booking details and the name used for the reservation so we can identify your booking and assist you efficiently. We recommend keeping our written confirmation of the cancellation for your records.
Cancellation charges depend on the type of booking and the time remaining before your scheduled arrival.
For individual tours, private trips and travel packages, the following cancellation charges apply to the total tour or service cost:
| Cancellation Notice | Cancellation Charge |
|---|---|
| 60 days or more before arrival | 15% |
| 59–30 days before arrival | 30% |
| 29–15 days before arrival | 50% |
| 14 days or fewer before arrival, or no-show | No refund |
These charges apply to the total tour or service cost, subject to the terms confirmed at the time of booking and any applicable supplier conditions.
Group bookings often involve advance commitments with hotels, transport providers, guides and other service partners. For this reason, the following cancellation charges apply to group tours and packages:
| Cancellation Notice | Cancellation Charge |
|---|---|
| 60 days or more before arrival | 25% |
| 59–30 days before arrival | 50% |
| 29 days or fewer before arrival, or no-show | No refund |
If a booking includes separate supplier cancellation conditions, those conditions may also apply and will be communicated where relevant.
Bookings made during peak travel periods, including 20 December to 15 January, and during major festivals or events such as Diwali, Dussehra, Holi and the Pushkar Fair may be subject to stricter cancellation conditions.
Some reservations during these periods may be non-refundable because of advance commitments and limited availability. Please check the specific cancellation terms with our team before confirming your booking.
If you decide to end your trip early, leave a tour midway or discontinue any confirmed service after the tour has started, unused services may not be refundable.
Refund eligibility will depend on the services already provided, the arrangements that can be cancelled and the applicable terms of our service providers. Atul Holidays cannot guarantee a refund for unused hotels, transport, meals, guides or other services once those arrangements have been confirmed or used.
Sometimes, natural calamities or other circumstances beyond anyone’s reasonable control may affect travel plans. If this happens, please contact us as soon as possible.
Depending on the circumstances and the terms offered by our service providers, we may explore the following options:
Credit note: Where available, a credit note may be issued for eligible amounts and used towards a future booking, subject to its validity and conditions.
Refund: If you request a refund, the amount will depend on the payments recoverable from the relevant service providers and any applicable cancellation charges.
The existing booking terms mention a minimum 10% service charge in these circumstances. Any such charge must be applied in accordance with the confirmed booking terms and applicable law. We will explain the calculation before processing an eligible refund.
Flight tickets are generally non-refundable under this policy. Any cancellation, date change or name correction will be subject to the airline’s fare rules, availability and applicable charges.
If an airline permits a refund or change, the amount returned will depend on the airline’s decision and the conditions of the ticket purchased. Airline penalties and other applicable charges may be deducted from any eligible refund.
Wildlife safaris, national park permits and similar activities may be non-refundable once confirmed. Cancellation and date-change requests will be handled according to the applicable government, park authority and booking-provider rules.
A request to change the date may be treated as a cancellation if changes are not permitted by the relevant authority. Any refund, where permitted, will depend on the applicable rules and the amount recoverable.
Refunds for eligible cancelled or unused services will be calculated according to the applicable cancellation terms and the conditions of the relevant service providers.
Where a refund is approved, it will generally be returned through the original payment method or another mutually agreed method, where permitted. Please allow approximately 5–6 weeks for processing, depending on banking procedures, payment providers and confirmation from suppliers.
Any applicable cancellation charges, non-refundable supplier costs, service charges or bank fees will be explained as part of the refund calculation. The final refund amount may therefore differ from the amount originally paid.
All refund-related communication should be made in writing so there is a clear record of the request and its outcome.
Guests are responsible for carrying valid identification and any travel documents required for their journey. Depending on nationality, destination and the services booked, these may include:
Foreign nationals: A valid passport and any required visa or travel authorisation.
Indian nationals: A valid government-issued photo ID accepted by the relevant service provider.
Overseas Indian travellers: A valid passport and any applicable OCI/PIO documentation, where required.
Requirements can vary by airline, hotel, transport provider, destination and government authority. Please confirm the documents needed for your specific trip before departure. Visa and entry requirements should be checked through the relevant official authorities.
If you wish to change your travel dates, itinerary, accommodation, transport or other booked services, please contact us as early as possible.
We will do our best to accommodate your request, subject to availability and the terms of the relevant service providers. Changes may involve additional costs or cancellation charges. We will inform you of any applicable costs before confirming the change.
If you have questions about a cancellation, refund or change to your booking, please contact our team. We will review your request and explain the applicable terms and available options.
